What is No-show rate?
The no-show rate is the number of booked meetings that neither took place nor were cancelled in time, divided by all booked meetings. The distinction from conversion rate matters: conversion rate measures the path to the commitment, the no-show rate measures the loss afterwards. Both can look healthy at the same time while quietly cancelling each other out, if the dashboard only shows the total of conversations held.
Timely cancellations expressly do not belong in this rate, and they are not a loss either. A cancellation returns the slot and delivers the information in advance - a no-show never does. Making cancellation hard in order to save meetings trades good information for empty calendar entries. The one-click cancellation link in the confirmation is therefore not a concession, it is a measuring instrument.
The lever is real but smaller than tool vendors promise, and it works on a smaller base than the booking rate: it only affects meetings that made it into the calendar at all. So the order is almost always to fix the booking journey first and expand the reminders second. What actually helps is unspectacular - a confirmation with a name, a duration and an agenda, one reminder, and a way to reschedule.
Why does No-show rate matter?
The solid numbers on appointment reminders come from healthcare, because that is where they have been measured against control groups for decades. A meta-analysis of ten randomised trials with 8,236 participants, online since March 2026, reports a risk ratio of 1.11 for attendance, an eleven per cent relative improvement. For SMS on its own the confidence interval runs from 0.99 to 1.31 and therefore misses significance. Reminders are a finishing touch, not a substitute for a journey that books the right people.
