Buying centre

The group inside the client organisation that decides on a purchase together. It is almost always larger than the single contact you speak to.

What is Buying centre?

A buying centre is not a department on the org chart but the group that assembles for one particular purchase and disperses again afterwards. The classic description from procurement research distinguishes roles rather than job titles: who raises the need, who will have to operate the thing later, who judges it technically, who negotiates the contract, who signs it off, and who controls access to all of those people. One person can carry several roles, and in small firms usually does.

The size and diversity of that group can be measured. In a survey of 632 B2B buyers, Gartner describes buying groups as ranging from five to 16 people across as many as four functions. In the same survey, 74 per cent of buyer teams show unhealthy conflict during the decision process, meaning conflicting objectives, disagreement on the way forward, or being overruled from outside. Groups that reach consensus are 2.5 times more likely to report a high-quality deal. The bottleneck therefore does not sit between you and your contact but inside the group.

In practice this changes who you are writing for. Material tailored for the relevance of the group measurably improves consensus; material tailored to one individual worsens it, because each member only finds their own view reinforced. A workable proposal therefore answers several roles in one place: the problem for the specialists, the cost for the approver, the effort for the people who run it, the risk for management. The role most often forgotten is the one that will have to operate the thing.

Why does Buying centre matter?

The expensive mistake is not the wrong price but a document that only works alongside you. Content tailored for individual-level relevance has, according to Gartner, a 59 per cent negative impact on consensus within the buying group. Writing only for your contact therefore weakens the very agreement you need.

Buying centre in practice

  1. 01An agency attaches half a page to every proposal that answers only the finance team's question: payment schedule, term, notice period.
  2. 02A software vendor learns while following up that IT security has a say, and folds those answers into the main document rather than a separate email.
  3. 03A trades business puts what is being built and what it costs in the first line, because the document is regularly forwarded to a co-owner.
