What is Answer rate?
The answer rate divides answered calls by all incoming calls in a period. The denominator is what matters: it includes every call that rang, including the one hung up after three seconds, the one to the work mobile and the one outside opening hours. Counting only the calls somebody noticed measures your own attention, not your availability. It therefore makes sense to report business hours and off-peak times separately, because the causes and the fixes differ.
Two distinctions make the figure usable. First, it counts calls, not callers: someone who tries three times appears as two missed calls and one answered call, and someone who gives up after the first attempt appears only once. It is therefore worth also looking at how many different numbers were left without a conversation at the end of the day. Second, the answer rate says nothing about time: how quickly calls are picked up is described by the service level, how quickly a missed call is returned by the first response time.
The data almost always comes from the phone system, not the CRM, because without an integration a missed call lands nowhere else. Two sources are regularly missing there: calls to private or individual work mobiles and calls via messengers such as WhatsApp. The "Calls" metric in the Google Business Profile works as a cross-check but does not replace the measurement, because it counts clicks on the call button rather than answered conversations.
Why does Answer rate matter?
Even where calls are analysed professionally, a large share goes nowhere. For a benchmark published in June 2025, the call analytics vendor Invoca analysed more than 60 million calls: 61 per cent of callers spoke to a person, between 54 and 69 per cent depending on the industry. These are vendor figures, and the remainder includes calls an automated system resolved. Still, the only way to know your own rate is to count it yourself.
Answer rate in practice
- 01A plumber counts for one week: 41 calls, 29 answered, an answer rate of 71 per cent. Nine of the twelve missed calls came between 7 and 8 am, when everyone was already in the van.
- 02A law firm reports two rates, one for the switchboard and one for direct lines. The switchboard scores high, the direct lines much lower, because nobody covers them during absences.
- 03A studio puts the call clicks from its Google Business Profile next to the answered calls from its phone system and sees that almost nobody picks up on Saturdays, although that is when most clicks come in.
